We recently gathered at INTIX 2026 for a conversation that went beyond ticketing and logistics. We talked about the Welcome Gap—that invisible space between a guest being “processed” and a guest feeling truly “welcomed.”
Alongside panelists Amy Constantine (The Parking Pad), Mitchell Klein (ATG Entertainment), and Patrick Kavanagh (Magic Mike Live), we explored how “Host Intelligence” can turn a standard event into a transformative experience.
The session ended with a challenge: Don’t just theorize—audit. Here are the six actions you can take the moment you get back to your office on Monday morning to close the gap at your venue.
1. Review Your Digital Invitation
The “Know Before You Go” email is often your first real handshake. Does it sound like a friend inviting someone over, or a list of legal demands?
- The Audit: Open your automated pre-show email template. Find one “Don’t” or “No” and rewrite it. Instead of “No outside food,” try “Finish your snacks before you head in—we have plenty of treats waiting for you inside.”
2. The Social Media Handshake
Hospitality doesn’t start at the front door; it starts in the DMs.
- The Audit: Check your venue’s social media inbox. Are you greeting people with a human “Welcome!” or just redirecting them to a generic phone number? Make the digital “Welcome” as warm as the physical one.
3. Empower the “Yes”
Most venue signage is designed to say “No”—No food, no bags, no re-entry.
- The Audit: Audit your lobby signage. Look for opportunities to flip a “No” into a “Yes.” Instead of “No Entry,” try “Event this way—please use the doors on the left.” Guide them toward the experience rather than blocking their path.
4. Find the Regulars
Data is only as good as the hospitality it enables. Your ticketing system knows who your superfans are, but does your front-gate staff?
- The Audit: Pull a list of the 20 most frequent attendees for your next show. Give those names to your front-gate supervisor so they can be ready to say, “Welcome back, it’s great to see you again.”
5. Huddle Like a Host
Most pre-shift briefings are about “Position Assignments”—who is on which gate or scanner.
- The Audit: Create a new 5-minute huddle template. Start the meeting with a “Guest Story”—a moment of great hospitality from a previous night—before you dive into the logistics. Set the tone that the staff are Hosts, not just processors.
6. The Departure Bridge
The “Welcome Gap” exists at the end of the night, too. When a guest leaves, are they being ushered out, or are they being thanked?
- The Audit: Schedule 10 minutes at the end of your next event for the entire management team to stand at the exit. Lead by example. Let the last thing the guest sees be a human face saying, “Thank you for coming, get home safe.”
Closing the Gap is a choice. It’s the choice to prioritize the human over the barcode. Start with these six steps this Monday, and watch how your venue’s culture begins to shift.
